These Terms & Conditions (“Terms”) apply to all persons who (a) purchase or hold a ticket, (b) attend an event, (c) enter event premises, (d) display a vehicle, (e) exhibit, trade, sponsor or provide services at the Event.
If you do not agree to these Terms, do not purchase tickets and do not attend the Event.
1.1 “Event” means any event, display, meet, tour, show, hospitality activity or gathering organised, promoted, managed or operated by Aperta at any venue, including car parks, arrival routes, paddocks, display lawns, hospitality rooms, public areas and ancillary spaces.
1.2 “Venue” means the venue owner/operator and/or premises at which the Event takes place, including associated grounds and access routes.
1.3 “Attendee” means any member of the public attending the Event (including ticket holders and guests).
1.4 “Driver/Vehicle Exhibitor” means any person who brings, arrives with, displays, parks, moves, transports, unloads, loads, starts, idles or otherwise operates a vehicle at or in connection with the Event, including owners, keepers, custodians and authorised drivers.
1.5 “Exhibitor” means any trade exhibitor, vendor, sponsor, partner, club stand operator, concession, stallholder, or person undertaking any commercial activity at the Event.
1.6 “Ticket” means any ticket, pass, wristband, QR code, permit, accreditation, vehicle pass or other form of entry authorisation.
1.7 “Force Majeure” means any event or circumstance beyond our reasonable control, including (without limitation) extreme weather, flood, storm, fire, terrorism, civil disorder, strikes, epidemics/pandemics, governmental restrictions, power failure, supplier failure, venue withdrawal, emergency services direction, or any other cause making the Event unsafe, impractical or unlawful to run as planned.
1.8 “Data Policies” means our Privacy/Data Policy and Cookie Policy as published on our website. These are incorporated by reference.
1.9 Headings are for convenience only and do not affect interpretation.
2.1 These Terms form the legally binding agreement between you and Aperta.
2.2 If you are an Exhibitor, Sponsor, Partner, Supplier or Contractor and you have a separate written agreement with Aperta, that agreement prevails only to the extent of any direct conflict, and these Terms apply otherwise.
2.3 If you are a Driver/Vehicle Exhibitor and you have a separate vehicle display agreement or waiver issued by Aperta for a particular Event, that document supplements these Terms and prevails only to the extent of direct conflict.
3.1 Entry is conditional. All entry is subject to: (a) these Terms, (b) venue rules, and (c) compliance with steward and staff instructions.
3.2 Checks. We may conduct security and safety checks, including bag checks and vehicle checks where reasonably necessary. Refusal may result in refusal of entry.
3.3 Proof of entitlement. You must present your Ticket/credential and (where applicable) photo ID on request.
3.4 No re-sale for profit without our prior written consent. We may cancel any Ticket used in breach and refuse entry.
3.5 Right to refuse entry / removal. We may refuse entry or remove any person for safety, security, illegal conduct, antisocial behaviour, intoxication, harassment, dangerous driving, breach of these Terms, or where reasonably necessary for Event operations. Removal may be without refund.
4.1 The Event programme, content, timetable, layout, zones, vehicle line-up, features, displays, announced vehicles, guests, speakers, sponsors, entertainment, hospitality, and any advertised items are subject to change.
4.2 No reliance on any specific car. Attendance or display of any particular vehicle(s) is never guaranteed. Vehicle non-attendance for any reason (including transport, weather, breakdown, driver illness, traffic, late arrival, early departure, operational decision, or steward direction) does not entitle you to a refund or damages.
4.3 We do not accept liability for any disappointment or expectation relating to the Event's content, provided the Event is delivered in a broadly comparable manner.
5.1 You must comply immediately with all reasonable instructions from Aperta staff, stewards, security, and Venue staff.
5.2 We may implement or change safety measures at any time (including speed limits, one-way systems, barriers, restricted areas, controlled arrival/departure, and vehicle movement restrictions).
5.3 Children must be supervised at all times. You are responsible for anyone you bring to the Event.
5.4 No climbing on vehicles, entering restricted display areas, crossing barriers, or touching vehicles unless expressly permitted by the vehicle owner and permitted within the zone rules.
6.1 Inherent risk. You acknowledge that a live motoring Event involves inherent and obvious risks, including moving vehicles, crowd density, noise, fuel, hot surfaces, mechanical failure, slips/trips, and weather conditions.
6.2 You attend the Event entirely at your own risk, and you are responsible for your own property and personal safety.

7.3 Subject to clause 7.1, our total aggregate liability to any Attendee in connection with the Event (whether in contract, tort, negligence or otherwise) shall be limited to the face value of the Ticket actually paid by that Attendee for entry to the Event.
7.4 Where you attend without paying a Ticket price (e.g., complimentary or guest list), our total aggregate liability to you shall be limited to £100 (except where clause 7.1 applies).
7.5 You agree that these limitations are reasonable given the nature of the Event and pricing, and you accept that you should maintain appropriate personal and vehicle insurance.
This section applies to every Driver/Vehicle Exhibitor and to any person responsible for a vehicle at the Event.
You must maintain valid insurance covering:
You must provide proof on request. Failure to provide proof may result in refusal of entry, removal from display, or removal from the Venue.
Unless expressly authorised as a static/non-road vehicle display, your vehicle must be roadworthy, legally compliant, and safe to operate. You must have a valid licence for the vehicle being driven.
Vehicle movement within the Venue is strictly controlled. You must:
Excessive noise, revving, anti-lag demonstration, or behaviour deemed unsafe/antisocial is prohibited. We may remove any vehicle or driver without compensation.
You must not drive under the influence of alcohol, drugs, or medication impairing driving. We may involve security and/or police where appropriate.
You must ensure:
You are solely responsible for your vehicle at all times, including security, keys, and supervision. We do not provide vehicle security unless expressly stated in writing.
For avoidance of doubt, Aperta does not take possession or custody of any vehicle. No bailment relationship is created.
We may allocate or change display locations for operational or safety reasons.
9.1 Risk sits with owners/drivers. All vehicle damage risk remains with the vehicle owner/keeper/Driver/Vehicle Exhibitor. This includes damage caused by other attendees, environmental conditions, weather, ground conditions, stones/debris, accidental contact, or third parties.
9.2 No claims for “show conditions”. You accept that Events of this nature carry risk of minor damage (including stone chips and accidental crowd contact) and you accept that you attend/display on that basis.
9.3 Incident reporting. If an incident occurs, you must report it to Aperta staff as soon as reasonably possible while still on site. We may document the incident and share factual information with insurers/emergency services where appropriate.
9.4 Insurance first. Any loss or damage should be pursued through your own insurer in the first instance.
10.1 If you are a Driver/Vehicle Exhibitor, you shall indemnify and keep indemnified Aperta and the Venue against all claims, liabilities, losses, damages, costs and expenses (including reasonable legal fees) arising out of or in connection with:

11.1 Approval required. All Exhibitors must be approved by Aperta. We may refuse or withdraw approval at our discretion.
11.2 Insurance. Exhibitors must hold appropriate insurance including public liability insurance of not less than £5,000,000 per claim (or such other amount as we specify for a particular Event). Proof must be provided on request and may be required before set-up.
11.3 Legal compliance. Exhibitors are responsible for complying with all applicable laws and regulations, including (where relevant): food hygiene, licensing, age-restricted products, trading standards, VAT/tax, health & safety, COSHH, electrical safety (PAT), and employment obligations.
11.4 No hazardous activities without express written permission and appropriate risk assessments/method statements.
11.5 Set-up and breakdown. Exhibitors must comply with set-up/breakdown times, access routes, and steward instructions. No early breakdown without permission.
11.6 Payments and transactions. Exhibitors are responsible for their own sales, payment processing, refunds, and customer service unless otherwise agreed in writing. Aperta is not party to transactions between Exhibitors and customers.
12.1 No weapons, fireworks, flares, smoke devices, drones (unless authorised), illegal substances, or items deemed unsafe by us or the Venue.
12.2 No harassment, discrimination, intimidation, or abusive behaviour towards staff, attendees, exhibitors, or vehicle owners.
12.3 No unauthorised filming in restricted areas, no trespass into hospitality/private zones without credentials.
13.1 Outdoor venue risks. You acknowledge that the Venue may include grass, gravel, slopes, temporary trackway, and uneven surfaces. You accept the associated risks.
13.2 Adverse weather impact. Weather may affect vehicle attendance, displays, timings, parking arrangements and site access. This does not constitute grounds for refund or claim.
13.3 Force Majeure changes/cancellation. If a Force Majeure event occurs, we may (at our discretion):
13.4 No liability for costs. We are not responsible for travel, accommodation, transport, recovery, storage, or other expenses you incur due to Force Majeure, postponement, changes, or cancellation.
13.5 Refunds. Ticket refunds (if any) are governed exclusively by our Refund Policy, which is incorporated by reference and available on our website.
14.1 All refunds, exchanges, transfers, credits, and cancellation outcomes are governed by our Refund Policy available on our website and incorporated by reference into these Terms.
14.2 In the event of any conflict between these Terms and the Refund Policy on the topic of refunds, the Refund Policy shall prevail.
15.1 The Event may be photographed, filmed and recorded. By entering the Venue you consent to being included in such media without payment.
15.2 We may use recordings for promotional, commercial and archival purposes across all media worldwide in perpetuity.
15.3 If you do not wish to be filmed/photographed, you must notify us in writing before entry and take reasonable steps to avoid filmed areas; however, we cannot guarantee exclusion in crowd shots.
15.4 You may take photos/videos for personal use. Commercial filming/photography requires prior written permission.
16.1 All Event branding, logos, marks, and content belong to Aperta and/or licensors. You may not use them without permission.
16.2 Exhibitors may use agreed Event marks only as authorised in writing and must follow brand guidelines where provided.
17.1 We process personal data in accordance with our Privacy/Data Policy and Cookie Policy, which are incorporated by reference and published on our website.
17.2 Where you provide us personal data of third parties (e.g., additional drivers, staff, guests), you confirm you have appropriate authority to do so and have provided them with the relevant policy information.
18.1 We may provide relevant information to the Venue, insurers, emergency services, local authorities, and police where reasonably necessary for safety, incident management, legal compliance, or investigation.
18.2 You must not obstruct emergency access routes or fail to comply with safety directions.
19.1 You are responsible for your own property. We do not guarantee safe storage.
19.2 Lost property may be handled by the Venue or Aperta depending on Event arrangements. We may dispose of unclaimed items after a reasonable period.
20.1 Complaints should be raised on the day where possible so we can attempt to resolve them. Otherwise contact us at hello@apertaevents.co.uk within 7 days of the Event.
20.2 Nothing in this clause affects your statutory rights.
21.1 If any provision is found invalid or unenforceable, the remaining provisions continue in full force.
21.2 We may update these Terms from time to time. The version in force at the time of your Ticket purchase/attendance applies to that Event.
21.3 We may assign or transfer our rights and obligations under these Terms where reasonably necessary (e.g., to a successor operator), without reducing your rights.
22.1 These Terms are governed by the laws of England and Wales.
22.2 The courts of England and Wales shall have exclusive jurisdiction, except where consumer law grants you rights to bring proceedings in your home jurisdiction.
